If you have any question about this policy, email us at privacy-inquiries@trajectorygeo.com.
02What we collect
We collect only the data we need to run the business and deliver the service. That falls into three categories.
Information you give us directly
When you submit our audit intake form, we collect your work email, phone number, company website, and any context you add to the free-text field. If you email us, we collect the contents of that email and any attachments. If you book a call, we collect the scheduling information required to confirm the meeting.
Information collected automatically
When you visit the site, we automatically collect standard web-server log data: IP address, browser type and version, operating system, referring page, pages visited, and timestamps. We also use cookies and similar technologies as described in Section 4.
Information from third parties
If you click through to our site from an ad, we may receive campaign attribution data (such as the ad identifier, keyword, or referring platform) from the ad network. We use this only to measure and optimize our advertising.
03How we use your data
We use personal information for the following purposes, each tied to a lawful basis under GDPR where applicable:
- To deliver the audit you requested. We use the information in the intake form to prepare your citation audit and send it to you. Lawful basis: performance of contract.
- To communicate with you. We respond to your emails, send follow-up questions if needed, and share the audit deliverable. Lawful basis: performance of contract and legitimate interest.
- To improve the site and the service. We analyze aggregated usage data to understand how visitors move through the site and where we can do better. Lawful basis: legitimate interest.
- To measure advertising. We use ad-platform tracking to measure whether paid campaigns lead to audit requests. Lawful basis: consent where required, legitimate interest otherwise.
- To comply with the law. We keep records required by tax, accounting, or other legal obligations. Lawful basis: legal obligation.
We do not sell your personal data. We do not use your data to train AI models. We do not send you unsolicited marketing.
04Cookies & tracking
We use a limited set of cookies and similar technologies:
- Strictly necessary cookies to make the site function (for example, to remember whether you have dismissed a banner).
- Analytics cookies (for example, Google Analytics) to understand site traffic in aggregate. These can be disabled via your browser settings or our consent banner.
- Advertising cookies (for example, Meta Pixel, Google Ads) set only when you arrive from or interact with a paid campaign. These measure conversion and enable retargeting.
You can control cookies via your browser settings. Disabling non-essential cookies will not prevent you from using the site or submitting the audit form.
05Who we share data with
We share your personal data only with a small set of vetted service providers, and only for the purposes described above. These include:
- Form processing: Formspree (routes intake submissions to our team).
- Email delivery: the email provider we use to send and receive mail (for example, Google Workspace).
- Analytics: Google Analytics and similar platforms.
- Advertising measurement: Google Ads, Meta (Facebook/Instagram), LinkedIn Ads, where applicable.
- Payment processing: if you become a paying client, we use a regulated payment processor to handle card or bank transactions. We do not store your card details.
We may disclose personal information if required by law, court order, or if we reasonably believe disclosure is necessary to protect our rights, the safety of individuals, or the integrity of our systems.
We never sell your data to third parties, and we do not share it for unrelated marketing purposes.
06Data retention
We keep your data only as long as we need it for the purpose it was collected. In practice:
- Audit intake submissions and resulting deliverables: retained for up to 24 months, after which we delete or anonymize them unless you become a client.
- Client records (contracts, invoices, correspondence): retained for the duration of the engagement plus any period required by tax, accounting, or contractual obligations (typically 7 years).
- Marketing analytics: retained in aggregated and anonymized form, usually no longer than 26 months.
07Your rights
Depending on your jurisdiction, you have the right to:
- Access the personal data we hold about you;
- Correct inaccurate or incomplete data;
- Request deletion of your data (subject to legal retention requirements);
- Object to or restrict certain processing;
- Request a copy of your data in a portable format;
- Withdraw consent at any time where processing is based on consent;
- Lodge a complaint with your local data protection authority.
If you are a California resident, you also have specific rights under the California Consumer Privacy Act (CCPA). If you are in the EU/EEA, you have rights under the General Data Protection Regulation (GDPR).
To exercise any of these rights, email privacy-inquiries@trajectorygeo.com and we will respond within 30 days.
08Security
We protect your data with commercially reasonable administrative, technical, and physical safeguards — including encryption in transit (HTTPS), access controls on internal systems, and vetted processors. No system is perfectly secure, and we cannot guarantee absolute protection. If we become aware of a breach that materially affects your data, we will notify you and the relevant authorities as required by law.
09International transfers
We operate remotely and may store or process your data in countries outside your own, including the United States and the European Union. Where required, we use standard contractual clauses or equivalent safeguards to ensure your data is protected to the same standard as in your home jurisdiction.
10Changes to this policy
We may update this policy as our business evolves or the law changes. The "Last updated" date at the top of the page indicates when the policy was last revised. For material changes, we will provide prominent notice on the site or via email where appropriate. Continued use of the site after an update constitutes acceptance of the updated policy.
